Ground rules for e mails .

Ground rules for e mails . There is an age old sayin "The pen is mightier than the sword".,and an other which says "words once given cannot be taken bac" .E mail etiquette is these proverbs clubbed together. E mail has become the "de facto " mode of communication nowadays, and with use of e mails by students, corporates, goverment workers , general public etc..It becomes very essential to use good e mail manners to communicate effectively. I have listed some of the most important rules for a good email etiquette . 1.Have a proffessional attitude towards writing emails, a professionally and efficently written email makes a very good impression on the reader , and its u r first chance and the best chance to make an impression. 2.Address the person or a group of people on how well you know them. If you are addressing the person ,whom you know fairly well then you can address them as Dear Mr or Dear Ms , If its a total stranger and a preferable in a high post address them as Respected Sir/Madam . If its needed to address a group of people you can address them as Dear all or Hello all. Addressing friends , colleagues can be done using Hi , or hello . 3.When you are unsure about , the sex of a person it is better to address the person as Dear . 4.Limit your subject line to 6 words .Do not try to clutter the subject line with your content, you always have space in the content area to fill them up. 5.Use Sans serif, courier new or times new roman as the fonts for your writing. These are internationally accepted font types and use a font size varying from 10 -12 for content and 14 - 16 for headings . 6.Split the paragraphs of a mail as per the idea you present Order them , in the way of events.Go in a gradual manner of putting forth your content, lest not it confuse the reader . 7.Match the mails as per reply,ie if some one replies in a casual manner, your reply to them can be in a casual tone itself. But be careful not to make use of words which can be derogatory , especially when communicating across cultures . 8.Try to avoid spelling mistakes and enforce grammatically correct content. 9.Last but not the least , mail back to the sender .
